You will be responsible for ensuring the smooth running of the office as well as providing support to the Business Development team. This is a dual role combining your office manager skills and knowledge alongside your administrative skills. You will be required to demonstrate a combination of discipline, flexibility, and precision in all tasks.

Office Manager Responsabilities

  • Correspondence in and out – reception calls and distribution of mails;
  • Liaise with building management/landlord and the different office suppliers (cleaning, maintenance of the office, printing leasing, catering, express courier, etc.);
  • Ordering of stationery and office supplies;
  • Organization of meetings – preparation of the room and materials (IT, catering, etc.);
  • Travel booking for the employees and visitors (flights, taxis and hotels);
  • Submission of expense reports for the managerial staff;
  • IT support contact point for the business unit – liaise with Global Helpdesk;
  • H&S – including fire, first aid;
  • Induction of new joiners – preparation of account and HR booklet, presentation of the team, tour of office, fire, first aid, etc.;
  • Organization of Stantec corporate and Belgium office events.

Business Development Team support tasks

  • Support bid managers during the expression of interest and proposals preparation process for international projects: administrative support following strict procurement procedures, contact with partners, experts and subcontractors, administrative documents collection and analysis, compilation of the entire administrative sections;
  • Support bid managers during the finalization of expressions of interest and proposals: support for the final quality control, organization of the printing and the shipping;
  • Formatting of expression of interest and proposals: ownership of the entire design and layout process for the development of high-quality standard documents to be submitted to our clients;
  • General graphic design support: preparation of templates, dividers, covers, graphs, Gant charts, graphs.

Requirements

  • Academic background: Bachelor’s degree in secretarial management or equivalent;
  • Excellent organizational and follow up skills; ability to prioritize and excellent time management;
  • Professional, diplomatic and confident communicating at all levels within the organization and with external clients;
  • Ability to take initiative using own discretion and skills;
  • Computer literate: advanced use of MS Office - Excel, Word and Power Point;
  • Good knowledge of Adobe Creative Suite - Adobe Photoshop, Illustrator, InDesign;
  • Excellent capacity to format and edit long Word documents;
  • Languages: fluent in English and French;
  • Excellent verbal and written communication skills;
  • Rigorous, accuracy and attention to detail;
  • Work ethics, enthusiastic, flexible and able to cope with multiple tasks.

The position will take place in our office in La Hulpe, Belgium and will start in Q3-2019.
